Administrative Calls Coordinator (Remote)

My client, a fast-growing Atlanta-based healthcare technology and services company, is seeking a Calls Coordinator to join their operations and customer experience team. The company delivers high-quality clinical review services and innovative software solutions to insurers, employers, and third-party administrators.

The Calls Coordinator is a key member of the operations and customer experience team, responsible for managing critical communication between clinical reviewers, medical providers, and internal teams. This is a high-volume, fast-moving role that includes scheduling, real-time call handling, call documentation, and administrative coordination. You’ll serve as a valuable liaison to ensure that peer-to-peer communications are executed accurately and professionally.

Ideal candidates are confident on the phone, highly organized, calm under pressure and comfortable learning new systems and technology. Calls Coordinators regularly work across multiple software systems, communicate in real time with providers and internal teams, and support continuous improvement efforts. There’s strong potential for growth into a leadership role for someone who demonstrates initiative and strong communication skills.

This position is remote and there is a strong preference for someone with the ability to work Pacific Time Business Hours.

Key Responsibilities 

  • Make outbound calls to provider offices to schedule peer-to-peer discussions and log outcomes clearly and accurately

  • Answer incoming calls, listen to voicemails, escalate urgent items, and document appropriately

  • Coordinate and conduct peer-to-peer calls, ensuring reviewer-to-reviewer and jurisdictional alignment

  • Transcribe peer-to-peer conversations with high accuracy, ensuring clarity and medical appropriateness

  • Review, revise, and clean up clinical reviewer rationale to ensure it is logical, complete, and free of contradictions

  • Update tracking systems and documentation tools 

  • Communicate with internal team members and vendor partners via chat and email to resolve issues in real time

  • Build rapport with physician reviewers and learn their preferences, communicate proactively, and respect their time

  • Help improve workflows and solve problems collaboratively with colleagues and management

  • Confidently manage challenging conversations with providers or reviewers and involve leadership when needed

  • Maintain attention to detail across all documentation and uphold accuracy in sensitive healthcare communications


Who You Are 

  • Comfortable on the phone and confident in both verbal and written communication

  • Calm under pressure and able to handle routine frustrations like phone tag, missed calls, and scheduling conflicts

  • A fast and accurate typing ability (40–60+ WPM preferred)

  • Tech-savvy and comfortable navigating web-based software platforms and multitasking across systems

  • Outgoing, self-motivated, and eager to support internal and external partners with professionalism and care

  • Collaborative and communicative—you work well with others and proactively share updates

  • Familiarity with medical terminology is helpful (but not required)—experience with long-form medical reports is a plus

  • Interested in growing your career in the healthcare or managed care space

Preferred Qualifications 

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred

  • Experience in healthcare administration, scheduling, transcription, or customer service is helpful but not required

  • Familiarity with standard office productivity tools (ex: Microsoft Office, Google Workspace)

Salary Range: $35,000 - $40,000/year
